Product listing
In this section we will explain how to upload a product to Pepita.hu.
There are three options for listing products: manual upload, excel import by category and feed link. In
this document we will show you manual and excel upload, for more information about feed
connections please see Feed and API connections.
The following information are mandatory to upload products:
● Product name
● Part number
● Description
● Photos
● GTIN (EAN code or ISBN number)
Optional data:
● Manufacturer’s article number
● Attachments (user manual or safety instructions)
● YouTube video link
● Dimensions/ attributes
Pepita also generates different IDs to identify the product:
● partner product ID: it is in front of the product name, can be found in the admin system
● public product ID: this is the site ID of Pepita, which can be found in the link to the product,
starting with the letter P
New product upload
When you enter the Pepita Admin interface, you can create a new product by clicking on the “Add a
new product” button in the Administration/Products menu. Clicking on this button will load the form
where you can upload your new products by entering the mandatory elements mentioned above.
Product name: when naming a product,
it is important that it clearly defines and
describes the product. The title should
summarise the most important
information about the product.
The correct order of the characteristics:
Brand – product name – type – size etc.
It is important to include all the relevant
information in the name, but avoid
keyword lists and keyword clustering
that have a spam effect.
Part number: the unique identifier of the
product that you provide. Any character
can be used, but it is advisable to avoid
special punctuation and accents. We
recommend using underscores (_) or
hyphens (-) instead of spaces. You can
upload one product per article number.
Manufacturer’s article number: the
manufacturer’s article number of the
product. It is not mandatory, but it can
help in searches.
GTIN: typically an EAN code associated with the product. It is important to enter the correct EAN code to avoid incorrect product links. For certain categories (e.g. technical goods), the EAN code is EAN means European Article Number.
The EAN code used in commerce usually consists of 13 digits, the number sequence below the barcode. If you do not have an EAN code, you can apply for one from GS1 Hungary Nonprofit Zrt. You can check the validity of the EAN code you received from the manufacturer by clicking here.
Category: from the drop-down list you can select the category of the product. If you are not sure which
category you are looking for, you can search for similar products on pepita.hu. The product features
will be available according to the category.
Description: the main purpose of the product specification is to help the customer make an informed
purchasing decision. Once the customer is on a product’s data sheet, it is important to be able to gather
as much information as possible about the product. The more comprehensive and detailed a product
description is, the more likely it is that a successful purchase will follow.
Images: the main image of the product must have a white background (unless otherwise justified by
the product’s characteristics), and must be a frontal view of the product. The white background is no
longer required for additional images. The images must accurately depict the product in professional
lighting and must not be blurred, pixelated, watermarked, have a logo or other site-related captions.
Images should show the general characteristics and primary aspects of the product. Images may be
uploaded in jpg or png format, with a minimum image size of 1200 x 630 pixels.
Attachments: In PDF format, you can upload any useful document related to the product: user manual,
energy label, installation instructions, maintenance instructions. It is possible to display this on the
product data sheet or to send it automatically by email after ordering.
Price (gross): gross price of the product
Discount price (gross): optional, if the product has a promotional price, the original price will be
crossed out and the purchase will be recorded at the promotional price. It is important that prices are
given in accordance with the pricing rules, new products can only be promoted after 14 days and older
products must be priced lower than the best price of the last 30 days.
Stock: the stock of the product. Keeping inventories up to date is of the utmost importance, as
incorrect purchases can be made if the information is not correct.
Shipping: In case you are selling a product with a different delivery time or at a different delivery fee,
you have the possibility to enter this information here. Otherwise, the default delivery time and price
will be displayed next to the product.
Youtube: If you have a demonstration video for the
product, you can provide a Youtube link to it here, which customers will see on the product data page. It is important that you copy the full URL link of the video here, do not miss the http:\, otherwise the video will not be displayed on the page.
Dimensions: By selecting a category, the features that can be set for that category will be available. These attributes help the customer to narrow down the search results, e.g. in terms of size, colour, material, etc. It is important to fill in as many attributes as possible, for better search ranking and visibility.
Variation products
If a product is available in several variations, you have the option to specify this.
First you have to create the main product, you need to enter the product name, article number,
description and images. After saving, you can click on the Editing button in the Products menu to create
the variation products associated with it.
You can select the type of variation in the properties (e.g. colour, size, etc., but you can also select two
variations at the same time, e.g. colour AND size, etc.) and enter different values. You can do this by
ticking the “Variation property” checkbox. Then, under the Properties field, a table will appear where
you can enter the price, stock, possible images of each variation.
Click on the More button to
enter the individual article
numbers of the variations, the
EAN code, the delivery time and
the value of the variation if
different.
You can refer to it in the main product name, so the product is available in several variations, e.g. “Party tent in several colours”, and the product data sheet will show the colour variations. This can alert the customer that even if the colour in the picture is not the one they are looking for, there are still other options.
In the future, you can upload more variations of the same product, using the same technique.
Once you have filled in everything, save the product data sheet, the variation products will soon appear
on the interface.
Product upload via excel
It is also possible to upload products in bulk via excel import. The excel import can be done by category, 500 products can be uploaded per table at a time.
When you enter the Pepita Admin interface, under the Administration menu, you will find the information needed to import Excel products under the Excel Product Management menu.
Within the menu, under the section “Send Excel via email”, you will find the option “Add new product by category”. Here you can select the category in which you want to create the products. Select which of the contacts you want to send the excel for the category to. (If you want to send it to an email address that is not listed, you can add email addresses under the “Add new contact” option in the basic data menu.)
After sending, the email containing the excel file will arrive in the selected mailbox. The email is sent
from [email protected] and is subject: new products template Excel – (+date today)
How to fill the spreadsheet
Save this Excel spreadsheet to your computer, open it and fill in the table according to the sample product. The table will load successfully if you do not modify either the header or the columns. The grey columns cannot be modified or deleted. You cannot delete rows in the table, nor delete the sample row. You can delete the contents of cells, but only the cells with white background.
Images can be uploaded by entering a URL and the description must be in HTML format.
One line corresponds to one product and the same identifiers are required as for manual upload:
A column – Name (Required) – Product name
B column – Description (Required) – Product description. The description can be provided as
HTML text, images can also be displayed in the description.
C column – Sku1 (Required) – Part number
D column – MPN (Optional) – Manufacturer part number
E column – GTIN (EAN/ISBN/UPC) (Optional) – EAN code or ISBN number
F and G columns are filled out automatically.
H column – Brand (Optional) – Brand of the product if available
I column – Product url (Optional) – link to the product in your own webshop, if available
J column – Custom delivery time (Optional) – delivery time, in days. If not set the default setting
will be displayed.
K column – Custom delivery price (HUF) (Optional) – delivery fee, in HUF. If not set the default
setting will be displayed.
L column – Gross price (HUF) (Required) – gross price in HUF.
M column – Stock (Required) – inventory for the product
N column – Primary image url (Required) – Main image’s URL.
O-S columns – Image url 1-5 (Optional) – Further image URLs.
Excel upload
Once you have filled in the spreadsheet, save it and return to the Pepita Admin interface to upload it.
You can upload, as you would download, from the Administration, Excel Product Management menu,
in the “Import products from excel file” interface. Here you can again choose to which email address to send a confirmation of the import status, select the completed file from your computer and press the button to upload to Excel.
We will send you an email about the successful upload (depending on the size of the table, this can take 10-15 minutes), and the products will be available soon on the admin interface and on the site.
Error messages if the upload is incorrect:
“Some required data for the product is missing in the following row(s)” – A Required field is not filled in
“SKU match in excel for the following products” – The given SKU is listed more than once in the table, please enter a unique Part number for each product.
“The following products cannot be imported due to existing SKUs. Please use a unique SKU identifier.”
The SKU is already listed in your product list, if the product is new, please enter a unique Part number.
We recommend that you test uploading with just a few products at first, and if all goes well, you can
upload large quantities of products.
